Office Administrator
Job Title: Office Administrator
Position Reports to: Senior Pastor
Salary Range:
Employment Status: Part-Time (21 hours per week)
Tues – Thurs: 9:00 am – 3:00 pm
Fri: 9 am – 12 pm
Occasional special event Sundays (annual meeting, new member orientations, etc.)
Position Overview
The office administrator functions as the face of the congregation in daily interactions. This person helps facilitate daily business functions of the church and its staff, especially the pastor(s). Staff the church office during normal business hours. Work alongside staff to identify and source volunteers for various ministries. Coordinate the events of the church by maintaining the online calendar and schedule building use rental with outside groups. Operate as the main point of contact for baptisms, weddings and funerals.
Principle Accountabilities
Provide general administrative support to the Senior &/or Associate Pastor(s)
Compile Sunday Bulletins
Handle correspondence as required
Answer and screen phone calls
Remind of upcoming events
Maintain Church Teams records.
Make miscellaneous bank deposits
Attend staff meetings and walk through weekly calendar.
Collect and assemble monthly newsletter information and send it via mail and electronically.
Administration of Church Office
Maintain accurate records of St. Paul’s Lutheran Church including but not limited to:
Membership Records, New Membership, Baptisms, Confirmations, Marriages, Deaths, Funerals, Visitors
“Facility Use Agreements”
New Member Orientation:
Maintain list of households interested in becoming members
Coordinate new member luncheon.
Coordinate publicity and promotions:
Gather monthly newsletter content and lay out in template. Ensure accuracy.
Coordinate all church announcements and make sure they are publicized properly and accurately internally and externally.
Coordinate volunteers to assist in folding bulletin, newsletter, etc.
Send weekly Thursday email and produce ministry notes for bulletin inserts.
Volunteer coordination:
Work with church staff to identify opportunities to serve and enlist and enable the people of the church to use their gifts in the work of the church.
Church Mail:
Retrieve mail at the post office, sort and distribute to proper destination
Mail out all necessary church mail as needed
Office Supplies:
Maintain adequate stock of all necessary supplies
Maintain public image:
Greet the public as they enter our church
Assist all who enter our church by directing them to the proper area or answer questions in a cordial manner
Technology Support:
Maintain church online calendar and keep it up to date.
Work with Sr. Pastor and computer hardware and software providers to keep church website and network operational.
Miscellaneous
Point of contact for the Altar guild
Sunday coffee fellowship setup
Communicate as necessary with Cemetery committee.
Other duties as needed
Job Skills Required
Enthusiastic and possess a positive outlook toward others
Excellent organization, communication and interpersonal skills.
Ability to maintain confidentiality
Accuracy in keeping records, tracking events on calendar, and editing and proofing copy.
Computer skills, website use, and database software experience
Proficient in software programs such as Microsoft Word, Publisher, Excel, etc. With training, become proficient in the use of church management software
Must possess good content creation skills (written announcements/newsletter)
Ability to work with minimal direct supervision
Preferred 3-5 years related experience in an administrative or customer service capacity
Educational Requirement
High School diploma or GED – some college preferred.
